Months before: the first message

A couple has fixed their reception at a hotel in Aberdeen on a Saturday. They send a WhatsApp message with the date, the venue and a rough idea of hours. We confirm the date is free and ask a few questions: guest numbers, when the dancing starts, and whether they want anything beyond the standard overlay.

The written quote

They choose the 3-hour package, a custom overlay in their wedding colours, and a red carpet. The quote comes back in writing with the package, the extras and the total, plus the deposit and payment terms. Once they accept and pay the deposit, the date is theirs.

Weeks before: the overlay

The couple sends a photo of their invitation and the exact wording: their names, the date and a hashtag. A draft overlay comes back on a sample clip. They ask for the hashtag to be larger, approve the second version, and that is what will appear on every video.

The week of the wedding

We confirm the setup time and access with the hotel’s events team, and agree where the booth will stand: beside the dance floor, out of the service route, with the red carpet leading to it from the room entrance.

The day

The booth arrives before the guests. It is built, the backup power checked, the overlay loaded and a test clip recorded and shared by QR code. When the meal ends and the dancing starts, the attendant opens the booth.

Over three hours, groups of two to four step up: the bridal party in matching outfits, the couple’s school friends, aunties, cousins, colleagues. Each clip is 10 to 15 seconds of slow motion with music and the couple’s overlay, and each group scans the QR code and has it on their phone before they step off. Halfway through, the hotel’s power drops for a moment during a generator switchover; the booth keeps recording.

After the wedding

The booth is packed down after the reception. The couple receives the full set of videos, including clips from guests who forgot to scan. Many of them are already on WhatsApp statuses.
